Planned Maintenance Services and Contractors

Planned preventative maintenance keeps assets serviced on schedule – before they fail – extending their life, ensuring compliance and cutting emergency callouts. PPVS delivers PPM for commercial estates across the UK, from single sites to national portfolios, built on the industry-standard SFG20 schedules. With over 3,000 sites maintained, we give facilities teams a programme they can rely on and prove, for predictable spend and fewer breakdowns.

UK & International Scope Planned Maintenance Services

We deliver planned maintenance nationwide through employed engineers and a vetted supply chain, so every site follows the same regime wherever it is. For multi-site operators and international brands running UK and European estates – we provide one accountable partner rather than a patchwork of local providers. From a single building to a national portfolio, we plan and deliver maintenance centrally, with consistent frequencies, SLAs and reporting at every location. That national coverage, backed by local engineer attendance, means your PPM happens on schedule everywhere, compliance is joined up, and you manage one relationship instead of dozens.

Planned Maintenance Regulations & Maintenance Schedule

Our planned maintenance is built on SFG20 – the industry-standard library of maintenance schedules – so every asset is serviced to the right specification at the right frequency. Onto that we map your statutory obligations: fire safety, electrical fixed-wire testing (EICR), gas safety, water hygiene under ACOP L8, LOLER for lifts and F-Gas for cooling systems, each with its own required frequency and certificate. We also work across the types of planned maintenance – preventive (time-based servicing), predictive or condition-based (acting on asset data) and planned corrective (scheduled repairs). It starts with a full asset register and a tailored maintenance calendar, so nothing is missed and every visit is documented – a compliant, auditable programme rather than a reactive scramble.

Sectors We Work In

We deliver PPM across three core sectors. In retail, we schedule maintenance around trading hours across store estates, keeping sites safe and open. In commercial, we handle building-services PPM for offices and managed estates – HVAC, electrical, water and life-safety systems. In industrial, we maintain statutory plant and production-critical assets where downtime directly costs output. In every setting the principle is the same: a planned regime that prevents failure, keeps you compliant and replaces unpredictable reactive spend with a controlled, scheduled programme tailored to how each site operates.

CAFM Reporting & How It Helps

Planned maintenance only works if it’s genuinely managed – and that’s what our CAFM platform does. It holds your full asset register, automatically generates and schedules PPM tasks, and stores every compliance certificate in one auditable place. You get live SLA and KPI dashboards, plus clear visibility of planned-versus-reactive spend – the proof that your PPM programme is actually reducing breakdowns and callouts over time. Your team can see what’s due, what’s done and what’s outstanding across every site, and pull compliance evidence on demand. It turns planned maintenance from a promise into a measurable, transparent service you can plan budgets around and demonstrate to auditors and stakeholders.

Planned Maintenance Multi-Site Capabilities

Across a portfolio, planned maintenance has to be consistent to be worth anything. PPVS standardises PPM regimes across every site – the same frequencies, SLAs and reporting – delivered through national self-delivery plus accredited partners and coordinated from one helpdesk. Rather than different contractors running different schedules building to building, you get one programme, one point of contact and one view of compliance and spend across the estate. As sites are added or requirements change, we scale the regime without losing consistency. For multi-site facilities teams, that means less overhead, uniform compliance and confidence that every site is maintained to the same standard.

Planned Maintenance Services FAQs

What is planned preventative maintenance (PPM)?
>

PPM is maintenance carried out on a schedule to keep assets working and compliant – servicing, inspections and checks done before equipment fails, rather than repairs after it does. It reduces breakdowns, extends asset life and controls cost.

What are the different types of planned maintenance?
>

The main types are preventive (time-based servicing), predictive or condition-based (acting on asset data and monitoring) and planned corrective (scheduled repairs identified in advance). Most commercial programmes combine all three.

What's the difference between planned and reactive maintenance?
>

Planned maintenance is scheduled to prevent failure and maintain compliance. Reactive maintenance is unplanned repair after a fault. Investing in planned work reduces costly, disruptive reactive callouts.

What is SFG20?
>

SFG20 is the recognised industry standard for building maintenance, providing a library of detailed maintenance schedules by asset type and frequency. We build our PPM programmes on it so every asset is serviced correctly and compliantly.

How do you schedule PPM across multiple sites?
>

We build a single asset register and maintenance calendar across your estate, then deliver to consistent frequencies and SLAs through our CAFM platform – so every site is maintained to the same standard with centralised reporting.
